Administrative Assistant

Foundation Music School is currently seeking a detail-oriented, positive, upbeat administrative
assistant to become a member of our team through serving our families and assisting our Directors. We are a high energy community school of music, with music students ranging from ages birth through adult. Applicant must be able to multitask and have a high level of comfort with customer
service, computers, Google Drive, Excel/Numbers spreadsheets, and Word/Pages. We will train you on our MindBody Registration software, but prior knowledge and use is a plus!

20-25 hours per week, 5 days a week; hours are morning to early afternoon, such as 8:30-1:30 or 9-2.

Some responsibilities include:
Checking mail, voicemail, and deposit box daily
Answering phone calls and taking phone messages
Answering emails and returning contact from the website request form
Using MindBody software to facilitate client enrollment/registration, keep track of billing and account balances, take payments, and contact clients for payments
Maintaining client records and paperwork (intake/registration paperwork, late cancellation forms, etc.) in MindBody software
Completing monthly billing to Foothills Gateway for music therapy services
Placing instrument orders and keep track of instrument/curriculum materials inventory
Maintaining records via Google Drive of client wait lists, fundraisers, donations to the school, and other records
Understanding and compliance with HIPAA
